The Academic Office provides a professional administrative support service to staff, students and potential students of Durham University.</p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\">The Academic Registrar is the head of the department and is responsible to the Pro-Vice Chancellor (Education) for its management.</p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\"><strong>The following services fall under the remit of the Academic Office:</strong></p>\n\n\n<ul>\n<li>Curriculum, Learning and Assessment</li>\n<li>Student Immigration and Funding</li>\n<li>Student Registry</li>\n</ul>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\">All of the services are based at the Palatine Centre in Durham City.</p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\">Student Registry deliver student focused services and business processes, such as enrolment and registration, timetabling, examinations and assessment outcomes, statutory body data returns and provision of student management information, degree certificates and academic transcripts, student letters and other documentation and degree verification.</p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\">The Senior Examinations Administrator is responsible for managing the process of recording assessment marks in the central student records system by departmental staff, managing the production and publication of progression outcomes to all students, managing the recruitment, training, scheduling and payment of invigilators for university exams, and proactively identifying potential improvements to processes and systems in order to increase efficiency, both within the Exams Team and at University level.</p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\"><b>Core responsibilities:</b></p>\n\n\n<ul>\n<li>Supervisory responsibilities for Student Registry services and people, in particular c100 casual staff working as University Invigilators.</li>\n<li>Provide induction and ongoing development support and training to Exams Team members and invigilators.</li>\n<li>Contribute to the performance review of invigilators, assisting with the identification of development needs where appropriate. </li>\n<li>Plan and organise own workload, and allocate and monitor work activities for others.</li>\n<li>Act as first point of contact for HR issues relating to invigilators.</li>\n<li>Responsible for organising and overseeing all day to day aspects of the invigilation process for centrally managed exams. </li>\n<li>Reactive and proactive service provision with others to deliver an excellent stakeholder experience.</li>\n<li>Relationship building, network participation internally and externally to build and update knowledge and skills.</li>\n<li>Implement and monitor protocols, procedures, processes and regulations, particularly relating to boards of examiners, examination administration and management, marks entry and invigilation.</li>\n<li>Monitor and report incidents.</li>\n<li>Implement and monitor recognised procedures to ensure compliance and meet University values of inclusion, diversity and participation.</li>\n<li>Contribute to business meetings, working groups and committees to help shape service delivery and stakeholder expectations relating to exams and other Student Registry processes.</li>\n<li>Responsible for keeping financial and budget records.</li>\n<li>Involved in the purchase and return of goods and services.</li>\n</ul>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\"><b>Role responsibilities:</b></p>\n\n\n<ul>\n<li>Manage and organise Student Registry processes, staff and resources to achieve defined targets and outcomes.</li>\n<li>Develop, implement and enforce University regulations to ensure boards of examer compliance, co-ordinate effort and contribute to team goals.</li>\n<li>Provide professional guidance and advice to staff, students and invigilators about the operational running of examination processes and the recording of assessment data and progression decisions. </li>\n<li>Ensure team activities and documents comply with internal University and external regulation, policy and procedures.</li>\n<li>Ensure accuracy by instituting recognised and routine checks, assessment criteria and techniques.</li>\n<li>Record data and information accurately, provide reports and distribute information to departmental staff and student relating to boards of examiners assessment and results.</li>\n<li>Use a range of digital media and tools to communicate with invigilators, students and departmental staff, both verbally and in written format.</li>\n<li>Establish, maintain and develop productive and ongoing relationships with stakeholders to influence perception of the University.</li>\n<li>Any other reasonable duties. </li>\n</ul>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\"><b>Specific role requirements</b></p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\">The main University exam periods are in May/June and August and workloads will be at their highest in the run up to and during these months. Duties may include occasional weekend and evening work, including bank holidays, although advance notice will normally be given.</p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\"><b>Working Arrangements</b></p>\n\n\n<p style=\"margin-bottom: 20px; font-family: san-serif;\">At Durham we recognise that our staff and students are our greatest asset and we want to support the health and wellbeing of all. The first is for 18 months to cover the secondment of a permanent member of staff, the second is for a period up to the end of December 2022 to cover a maternity leave.
